The client is a Brisbane based family comprising of a husband and wife (soon to be married) who run various businesses both in Australia and internationally, spanning cattle, mining, investment, real estate and software. This role comprises both domestic responsibilities as well as business matters supporting the Principal who regularly travels internationally. The role is primarily personal with business administration secondary focus.

The Personal Assistant (PA) is a pivotal role in both our private and business life. The role requires someone who is professional, caring, responsible, organised and detail oriented. You will be proactive and possess a ‘can do’ attitude. You will act with integrity and work in the interests of the family at all times. Discretion and integrity are key to being successful in this role. 

General duties will include:

  • Responsible household functional management including contractors, inventory management, maintenance and repairs. For example, scheduling and paying cleaners and tradesmen, car maintenance, household item restocking and ensuring the home is tidy and organised at all times.
  • Responsible for lifestyle management including running errands, personal shopping, researching and booking personal trainers when travelling.
  • Manage extensive global travel arrangements including travel research, bookings and management both on the ground and remotely. This includes but not limited to flights, accommodation, cars, visa requirements, activities, events and meal reservations. Further, ensuring that personal preferences are both booked and implemented.
  • Extensive personal and business diary management across multiple calendars including appointment scheduling in multiple time zones, prioritising importance of requests and accommodating last minute changes calmly. Further, responding immediately to shifting priorities and deadlines and resolving scheduling conflicts.
  • Professional support including email and phone communication with company employees and business partners.
  • Basic administration ie health insurance claims, manage frequent flyer points, collect, open and manage mail.
  • Preparation for and arrange catering for meetings when required
  • Handle personal correspondence such as mail, email, invitations and contacts.
  • Oversee household staff recruitment, scheduling, training and administration.
  • Arranging food and cleaning etc for residences at cattle properties when visiting
  • Highly organised and strong time management skills

The ideal candidate will:

  • Have experience working as a Personal Assistant with a High Net Worth Family
  • Have a current police check (to be completed prior to employment)
  • Have an open, unrestricted drivers license with clean driving history
  • Have the ability to problem solve and stay calm and relaxed
  • Possess a high level of integrity, honesty and discretion
  • Be tech savvy, preferably using Microsoft products
  • Be reliable, punctual and autonomous with a ‘can do’ attitude
  • Have the ability to follow instructions and respond quickly and accurately
  • Be a team player. Ability to communicate confidently both verbally and written communication
  • Have time management skills with the ability to prioritize and multi task
  • Have a professional manner and presentation

Hours:  25 hours a week
Salary: Negotiable, depending on your experience.
